May Customize the Slide Shows
Whether you’re using PowerPoint for the first time or you’re an experienced pro, this information is for you.
· If you’re a first-time PowerPoint user, you’ll learn what you need to get started and to succeed using these slides.
· Even if you’re already familiar with PowerPoint, you’ll find information here about how to use these slides with the Stephen Series training modules.
The PowerPoint Slides for Stephen Minister Training CD is packaged with PowerPoint Viewer software, which will help you use the slide shows quickly and easily. Included on this CD are PowerPoint slide shows for the following:
· Modules T-1–T-18—initial Stephen Minister training
· Modules T-19–T-25—Stephen Minister continuing education
· S-3A(9)—“Bear One Another’s Burdens”
· S-8(6)—“The Role of the Supervision Group Facilitator”
In two situations you’ll have more than one slide show to choose from: two-part modules and continuing education modules.

For each continuing education module you have four slide shows to choose from. If you’re teaching the entire module in one two-and-a-half-hour class session, use the slide show that contains the complete presentation—the file name will contain the words complete presentation.
Since you may want
to present the continuing education module in three separate 40-minute
sessions, we’ve also broken down the large slide show into three smaller ones.
You will find the three smaller slide shows in a separate file folder for each
continuing education module. For example, if you’re teaching segment one of
module T-19, double click on the “T-19 Segments” file folder to view its
contents. Then select the slide show with the filename that contains the words segment one.

To use the PowerPoint slides, you’ll need the following:
In addition, if you want to modify these PowerPoint slides, you’ll need your own copy of the full PowerPoint software installed on your PC. (Click here for more information about modifying slides.)
1. Insert the CD into your computer’s compact disc drive. The PowerPoint Viewer will open automatically. If it doesn’t, please click here to obtain additional instructions.
2. Locate and double click to open the slide show that goes with your training module. For example, if you are teaching module T-1, open the slide show called “T-1 The Person of the Caregiver.”
3. The slide show will open with a placeholder slide displayed. Click once to advance to the first slide for that module.
4. Continue clicking—once for each slide—to advance through the slides in the slide show.
5. When you are at the end of a slide show, a black screen will appear with the words “End of slide show, click to exit.” After you click one more time, you will be back to the Microsoft PowerPoint Viewer window.
6. To exit the PowerPoint slide show at any time, right click the mouse button. A menu will appear. Move your mouse over the option entitled, “End Show.” You will be back to the Microsoft PowerPoint Viewer window. You can either select a different module to view or click the X in the upper right hand corner of the window to exit PowerPoint Viewer.
1. Move your mouse so that the cursor is over the “Start” Button. Click the right mouse button, and a menu will appear. On that menu, select “Explore” by clicking on that option. Locate your computer’s CD-ROM drive (often it’s drive “D,” but it may be different on your computer.) Click that drive to view its contents.
2. Double click on “pptview” to open Microsoft PowerPoint Viewer.
3. The Microsoft PowerPoint Viewer window will display with a list of all the slide shows on the CD.
4. Locate and double click to open the slide show that goes with your training module. For example, if you are teaching module T-1, open the slide show called “T-1 The Person of the Caregiver.”
5. The slide show will open with a placeholder slide displayed. Click once to advance to the first slide for that module.
6. Continue clicking—once for each slide—to advance through the slides in the slide show.
7. When you are at the end of a slide show, a black screen will appear with the words “End of slide show, click to exit.” After you click one more time, you will be back to the Microsoft PowerPoint Viewer window.
8. To exit the PowerPoint slide show at any time, right click the mouse button. A menu will appear. Move your mouse over the option entitled, “End Show.” You will be back to the Microsoft PowerPoint Viewer window. You can either select a different module to view or click the “X” in the upper right hand corner of the window to exit PowerPoint Viewer.
In order to get the most out of your PowerPoint slides, follow these suggestions.
There are some important differences between using overhead transparencies and PowerPoint slides. Since the instructions in the Stephen Series training modules are written for using overhead transparencies, you’ll need to adapt the presentations when you use PowerPoint slides.
One difference is that with overhead transparencies, when you’re finished with a slide you just turn off the projector until you’re ready for the next slide. You don’t do that with PowerPoint slides, and you don’t want to leave a PowerPoint slide showing once you’ve finished talking about it.
That’s why we’ve inserted placeholder slides—usually with the Stephen Series logo—for you to show between some of the slides. You’ll find placeholder slides whenever there’s a period of time when there doesn’t need to be an overhead showing. When you’ve finished with one slide but don’t need to display the next slide yet, simply click to the placeholder slide and leave it on the screen until you are ready for the next slide.
Note that your Leader’s Manual training presentation scripts tell you when to show overheads, and that tells you when to use the PowerPoint slides that correspond to those overheads. But the presentation scripts don’t mention the placeholder slides, so you’ll need to write some instructions to yourself in your presentation scripts to prepare for using PowerPoint slides.
As part of your preparation to teach, you’ll want to put a mark in the presentation script at every point where you need to advance to the next PowerPoint slide. Put the mark at every place where the script says to display an overhead, and also put a mark at every place in the script where you would be finished referring to the overhead and need to move to a placeholder slide.
It would be a good idea to decide on a simple symbol and use it consistently wherever you need to advance to the next slide. The staff of Stephen Ministries St. Louis places a small arrow in the script whenever it’s time to advance the slide. You may want to use an arrow or another symbol that works for you. Just get in the habit of using the same symbol each time you need to advance the slide so when you’re in front of your class teaching you don’t have to stop and remember what the symbol means.
It’s helpful to prepare your presentation script in this way. As you are concentrating on your teaching, you may forget to advance the slide. And since the placeholder slides aren’t mentioned in the presentation script, it could be very easy to forget to advance to them. The symbol in your presentation script helps you remember when to advance to the next slide.
Before you present a module using the PowerPoint slides, you’ll want to become familiar with the slide show for that module and practice using the slide show while going through the presentation script.
Practice reading through the script with the PowerPoint show loaded on a computer. Advance your slides according to the marks you’ve made in your presentation script, and make sure the slide you want is showing at the right time.
Note that the name of the slide is at the bottom right corner of the screen, and these slide names are the same as the names of the overheads mentioned in the presentation script. For example, if the script says to show Overhead A, click to display Slide A. The contents of the slide should match the contents of the gray overhead box in the script.
There are a few places in the presentation scripts where you are instructed to write on the overhead while the class is looking at it. Obviously, you can’t do this with a PowerPoint slide. Therefore, when the script says to write directly on an overhead, you will need to use a chalkboard and chalk or a flip chart and markers. Whenever you see an instruction to write directly on an overhead, make sure your preclass preparations include obtaining the board and chalk or flip chart and markers.
There are a few places in the presentation scripts where you are instructed to cover up a portion of the overhead and display one point at a time. Since this is not possible with a PowerPoint slide, we’ve added “builds” to the slides that correspond with this type of overhead. Slides with builds allow you to display one part of a slide at a time. All you need to do is click once and the first point will display on the screen. When you are ready to show the next point on the slide, click again and it will appear. Continue doing this until all of the points on the slide are displayed.
There are places in the presentation scripts where you are instructed to label a diagram on the overhead by writing directly on it. The “Mud Hole” on page 26 of module T-2 is an example. Since this is not possible with a PowerPoint slide, we’ve added “builds” to the slides that add to the PowerPoint slide the items that the script tells you to write on an overhead. Slides with builds allow you to display one part of a slide at a time. When you are ready to label the first part of the diagram, click once and the label will appear on the screen. When you are ready for the next label, click again. Continue doing this until the diagram is completely labeled.
If you are familiar with using the PowerPoint program, you may wish to customize some of the slide shows to meet the needs of your training class. You may think of all sorts of ways to make the slides fancier and more interesting.
Feel free to customize some or all of the slide shows on this CD, but please do not share your modified slide shows with other congregations.
To customize a slide show you will need Microsoft PowerPoint software installed on your PC. To open a slide show for modification, make sure your computer’s compact disc directory is open with the contents of the PowerPoint Slides for Stephen Minister Training CD displayed. Do not open PowerPoint Viewer. Locate the slide show you wish to modify, and open it directly from the list of slide shows on the CD. You are now ready to customize the slide show.

Stephen Ministries St. Louis does not have staff available to provide technical support on computer issues, and we will not be able to help you with customizing slide shows.
